Club Meeting Minutes October 20, 2009

1. HALLOWEEN MEET

Our Halloween meet is Sunday Nov 1. Set up at 2pm, warm-ups at 2:30 and meet
beginning at 3pm! Good times! All officers at this point should be signed up to
either compete or help out at the meet- ie, judging, keeping score, running floor
music, etc. If you're not competing and need a job, email Lena to find out what she
still needs people for.
Kenrick is finding us a trainer. Justin, I'm sorry for not checking last night-
did you sign up to keep score, or should I email Paul to see if he's
willing/available to do it again?

Do we have any idea if individual competitors are coming from either Davis or Santa
Cruz? Anyone? Anywhere?

2. COMMUNITY MEMBERS

Our official answer is that community members must have an RSF membership. We may
hand out more "Volunteer Coach" memberships to increase our revenue and allow more
community members who are willing to make a positive contribution to the club to
have access to club hours. This will have to entail some form of application
process involving a questionnaire and possibly an interview.

Lena will draft the written application. Here are questions we'd like to ask
applicants; please revise or make suggestions:
What has been your historic contribution to the club?
What benefit will you bring to the club?
What is your knowledge of gymnastics?
What contributions can you currently make to the club?
Can you come up with fundraising activities that would be successful for our club?
Are you wiling to accept the terms and responsibilities of our Volunteer Coaches?

The following will be the responsibility of any "Volunteer Coaches"
Pay full cost of club dues (waived for officers)
Pay full cost of all necessary certifications, including but not limited to, CPR and
1st Aid
Accept our Code of Conduct
Participate in a minimum of 3 fundraising activiites which could include attending
fundraisers, organizing a fundraiser, doing advertising for a fundraiser, or helping
out with tasks associated with home meets, or any comparable contribution to the
club; alternatively, actually functioning as a volunteer coach.

These positions would be for 1 year, provided they fulfill the Gymnastic Club's
expectations.
In case we need them, our justifications for having an increased number of Volunteer
Coaches could be that we have too many people in the gym and of different abilities,
so we need multiple coaches on a given evening, or also that some of our Volunteer
Coaches are not available every week.

3. CHANGE IN $$$ COLLECTION
Students can either pay $50 to cover dues or $5 indefinitely since we want to
encourage taking in as much money as possible. A notable change is that the $5/day
fee NO LONGER counts towards their $50 dues. Everyone need to be helping to collect
this money and get it recorded into the new spreadsheets provided by Sharyl. If you
weren't at the meeting and are confused by this, please email me for better
explanation.

The policy towards Community Members is the same (limit of 3 visits, $5/ea) but will
be enforced more strictly, meaning after 3 visits, they'll need an RSF membership or
Volunteer Coach status to return.

We do need to send out a listserve email updating them on the RSF decision and new
dues collection policy.

4. MANDATORY SPORTS CLUB OFFICE MEETINGS
Drinking Meeting- TONIGHT! 7pm, Sports Club Room in Haas
Kenrick and Justin will attend

Nov 4th, 7pm?
Michael and perhaps Julie will attend. As always Michael will be a rock star about
reminding possible attendees closer to to the actual date of the meeting.

5. FUNDRAISERS
We will be asking for Nov 21 and Dec 5 to be approved for Babysitting nights.
Sharyl and Anne will try to advertise better in the community and hopefully we can
get more rec coaches to advertise to their classes than just Ali!

Julie knows of a restaurant that will give us a generous cut of profits on a
designated evening. She will get in touch with said restaurant and once our date
has been set, we should try to get as many people as possible, us rec kids, parents,
to go eat there!

6. COACHES
We're paying Jessica more than we can afford. Normally gym club coaches have been
limited to being paid 1 hr/week while she's recording 2 1/2 (including time text
messaging). In Jess's case we'll pay her 1 1/2 hours to keep her til 10 since she
would probably be unwilling to not be paid til 9 and we don't get anything started
til then. Julie will speak with her about this before Anne sends out an email to
her on Fri regarding this.

Danielle and Hiroki will be given a warning about missing shifts.
